Creating a Clear Property Management Handover

Transitioning property management from one agency to another — or taking on management of a property for the first time — requires careful attention to the handover process. A well-managed handover protects the landlord's interests and ensures continuity for the tenant.

The outgoing manager should provide a complete handover package. This typically includes the current lease and any variations, a rental ledger showing the payment history, details of the security deposit held, maintenance records, keys and access devices, and any outstanding maintenance issues or disputes.

The security deposit — commonly referred to as a bond — must be transferred correctly. The process for transferring a bond held with the Residential Tenancies Bond Authority differs from the process for bonds held in trust by the outgoing agency. Both parties should confirm the transfer has been completed correctly.

Outstanding maintenance issues should be documented and responsibility for their resolution clearly allocated. Issues that were known to the outgoing manager should not be left unresolved or undisclosed at the time of handover.

The tenant should be notified of the change in management in writing, with clear instructions on where to direct rent payments and maintenance requests going forward. A smooth communication transition reduces tenant uncertainty and the risk of payment errors.

Landlords should review the new management agreement carefully before signing. Key terms include the management fee, the scope of services, the notice period for termination, and any additional charges for specific services.
